Privacy policy
How we handle your information.
Last updated: 12 October 2026
1. Who we are
WitFlow provides business growth, demand orchestration, design and AI services. This policy explains how we handle personal information collected through this website. For privacy questions or requests, email carlos@witflow.co.
2. Information we collect
When you contact us, we collect your name, email address, company and message. Our hosting providers may also process technical information such as IP addresses, request times and browser information to deliver and secure the website. Please avoid including sensitive personal information in enquiries.
3. Why we use it
We use your enquiry to respond, arrange a conversation and manage relevant business follow-up. We rely on our legitimate interests in responding to business enquiries, or steps requested by you before entering a contract, as applicable. Submitting an enquiry does not subscribe you to marketing. Where consent is needed for marketing, we ask separately and you can withdraw it.
4. Our service providers
Contact enquiries are stored in Clarify CRM and delivered to our team through Twilio SendGrid. Vercel hosts the website and processes requests. These providers handle information to support the services they deliver. We do not sell your personal information. We may disclose it where required by law or necessary to protect legal rights.
5. International processing
Our service providers may process information outside your country, including outside the UK or European Economic Area. Where applicable data protection law requires it, international transfers must use an adequacy decision or appropriate safeguards, such as approved contractual clauses. Contact us for information about the safeguards relevant to your enquiry.
6. How long we keep it
Our existing retention period for contact enquiries is up to 12 months. If an enquiry develops into an ongoing client relationship, relevant records may be retained for that relationship and applicable legal obligations. You can ask us to delete information that is no longer needed.
7. Your rights
Depending on applicable law, you can request access, correction, deletion or restriction of your personal information, object to processing based on legitimate interests, and request portability where available. You can withdraw consent without affecting earlier lawful processing. Email carlos@witflow.co to exercise these rights. We normally respond within one month. You can also complain to the UK Information Commissioner or your local data protection authority.
8. Cookies and external services
See our cookie policy for information about browser storage. Links to Amazon, Luma, social networks and other external services take you to websites governed by their own privacy policies.
9. Updates
We may update this policy as the website or our practices change. The date above identifies the current version.
Website analytics and Wit
With consent, Google Analytics processes usage data to help us improve the website. Analytics consent can be withdrawn through Cookie settings in the footer. We do not send enquiry contents or chat transcripts to Google Analytics. When you choose to use Wit, ElevenLabs processes your messages and streamed voice to provide the conversation. The agent is configured not to store call audio; conversation transcripts are retained for 14 days. Please avoid sensitive information. These optional services are separate from sending a contact enquiry.
